1. Prepare the proposal or quote
In Documents, create a proposal (with phases and text) or a quote (items and prices). Pick the client, add lines with their tax, discounts and payment terms. Totals add up on their own and save as you type. You can save a document as a template and reuse it.
2. Send it
Use Send to client. The client gets an email and sees it in their portal, under Quotes and invoices. If you edit it afterwards, it goes out as a new version with the same reference.
3. The client accepts
The client accepts by typing their name. At that moment Flow:
- creates the project, with a milestone per phase and its share of the amount;
- creates the deposit invoice as a draft, if your terms include one;
- marks the deal as Won.
4. Invoice
Draft invoices appear in Billing: deposits, completed milestones, the monthly fee, or made by hand. Review one and use Issue and send: it gets its number (INV-0001), its PDF is fixed and the client sees it in their portal.
5. Get paid
Flow marks invoices past their terms as overdue and sends reminders on your schedule (Settings › Documents › Collections). The client can report a payment with their receipt; you confirm it or use Record payment.
